Officer and Committee Chair Descriptions

The PTO Executive Board is comprised of elected Officers.  It meets one evening per month to conduct PTO business.  Anyone may attend. Regular meetings for the entire membership also meet one evening per month.

 

Elected Officers

 

Co-President - Serve as leader and key contact for the PTO; preside at all PTO meetings; ex-officio member of all committees; coordinate work of officers and committees so PTO objectives are met.

 

Co-Vice President of Fundraising - Act as an aide to the President; perform the duties of the President in the absence or inability of that officer to serve; assume other responsibilities as assigned by the Executive Board; coordinate the general activities of committees created by the Executive Board.

 

Co-Vice President of Events – Serve as aid to the President(s); coordinate non-fundraising events; perform such other duties as may be delegated by the President or the Executive Board.

 

Secretary - Keep minutes of all General and Executive Board Meetings; prepare correspondence and perform other duties as directed; maintain organizational documents of Corporation.

 

Treasurer - Responsible for and has custody of all funds; make disbursements as properly authorized; present at all PTO events where money will be collected; make sure PTO policies and best practices are followed regarding funds; prepare financial reports for each meeting and as needed; prepare books for an annual audit.

 

Communications & Volunteer Coordinator – Publicize PTO events; update and maintain electronic mailing list; produce PTO correspondence; coordinate volunteers for PTO events.

 

Board Member at Large - Act as a parliamentarian to assure that meetings and processes are conducted in accordance with bylaws; advise on parliamentary procedures using Robert’s Rules of Order; bring current copy of bylaws to all meetings; assist President(s) as needed.

 

Committee Chairs

 

Dinner Night Out - Select venues; prepare promotional flyers; secure venue donation.

 

E-Media - Keep Facebook and Twitter current and engaging; promote upcoming Paseo events; seek out and add photos of current events.

 

Fall Fundraisers (Product Based) - Prepare promotional flyers; receive and process incoming orders and payments; promote fundraisers; distribute products.

 

Family Night Fundraisers - Secure event dates; prepare and distribute flyers; coordinate ticket sales; work the day of the event.

 

FundingFactory® Recycling Program – Prepare promotional flyers; process incoming donations; promote fundraiser.

 

Give to Grow Garden - Fundraise and coordinate school and community garden involvement.

 

Grant Writing – Identify needs of school; seek out and submit grant requests.

 

Labels for Education and Box Tops – Prepare promotional flyers; process labels.

 

Paseo Island Festival – Help recruit and plan our biggest event of the year, the Paseo Island Festival held in May.

 

Pledge Drive – Prepare promotional flyers; maintain family donation list in excel; process incoming pledge drive deposits; distribute tax donation letters in December and May.

 

Race for Success - Promote event; secure event volunteers and sponsors; ensure Paseo meets all participation requirements.

 

Room Parent Coordinator - Gather room parent information for each classroom; provide room parents with PTO communications as needed; coordinate Silent Auction Classroom Baskets in April.

 

Spring Fundraisers (Product Based) - Prepare promotional flyers; receive and process incoming orders and payments; promote fundraisers; distribute products.

 

Spirit Wear - Coordinate the selection, design, ordering, inventory, and sales of school T-shirts and any related products.

 

Sponsorship Program - Create sponsorship packages for current school year; solicit sponsorships; maintain sponsor banners.

 

Website - Maintain website calendar; keep website current and engaging; update PTO page monthly to include meeting minutes, agenda and newsletter; seek out and add photos of current events.

 

Western Social - Coordinate annual Western Social event, including games, concession sales, and local and/or school entertainment.

 

Yearbook - Capture and compile pictures of school events; design yearbook from front to back cover; prepare promotional flyers; receive and process incoming orders and payments; promote sales, including ads and love line sales; distribute yearbooks.
